  • You know your cost per lead by channel for the last 90 days.

Capture

  • Every campaign points to a page with one offer and one primary action.
  • Form submissions and phone calls have both been tested end to end and recorded.
  • The page loads fast on mobile and the call button works with one tap.

Answer

  • Median first response time during business hours is measured, not assumed.
  • Calls and messages outside business hours have a defined owner or system.
  • Missed calls trigger an automatic text back within minutes.

Qualify

  • The same qualification questions are asked on every inquiry.
  • Answers are stored as structured CRM fields, not free text notes.
  • Sales and marketing agree on one written definition of a qualified lead.

Book

  • A qualified lead can book real availability in under a minute.
  • Confirmation plus at least two reminders go out before every appointment.
  • No shows automatically get offered a new time.

Convert

  • Every open opportunity has an owner, a stage and a dated next step.
  • Undecided leads receive structured follow up across weeks, not one attempt.
  • Show rate and close rate are reported by lead source.

Retain

  • Review requests fire automatically after a completed job or positive outcome.
  • A referral ask is built into delivery rather than left to memory.
  • Past customers and unconverted quotes are reactivated on a schedule.

Guide 02

AI Receptionist Readiness Checklist

Before any AI answers your phone, these decisions need owners and written answers. Bring them to a build and deployment takes days instead of weeks.

Call types

  • List the call reasons you actually receive: new inquiry, existing customer, supplier, recruitment, spam.
  • Decide which of those the assistant handles fully and which it only triages.
  • Write the one line outcome you want from each call type.

Escalation rules

  • Define what counts as urgent and who receives it immediately.
  • Set the rule for any caller who asks for a human, usually an instant transfer.
  • Decide the fallback when no one is reachable: voicemail, callback promise or ticket.

Hours and coverage

  • Confirm business hours, after hours, weekends and holiday behaviour.
  • Decide whether the assistant answers first or only after a number of rings.
  • Agree the maximum acceptable wait before a caller is handed off.

Qualification questions

  • List the four to six questions that separate a real buyer from noise.
  • Decide which answers disqualify, and how the caller is redirected politely.
  • Name the CRM field each answer maps to.

Booking rules

  • Confirm appointment types, durations, travel or buffer time and capacity limits.
  • Decide who can be booked, by whom, and how far ahead.
  • Set reschedule and cancellation handling before launch.

Consent, disclosure and CRM handoff

  • Decide how the assistant discloses that it is an AI, and when.
  • Confirm recording, transcription and consent requirements with your legal advisor.
  • Specify what is written back to the CRM: transcript, summary, fields, tags and owner.
